Audience Communications & Events SA (“us”, “we”, or “our”) operates the www.audience-communiucation.com website (hereinafter referred to as the “Site”).
This Privacy & Cookies Policy informs you of our policies regarding the collection, use and disclosure of Personal Data when you use our learning management system (the “Service”). Please read it carefully.
We use your Personal Data to provide and improve the Service. By using the Service, you agree to the collection and use of your
Personal Data in accordance with this policy.

Definitions

Personal Data means data about a living individual who can be identified from those data (or from those and other information either in our possession or likely to come into our possession).

Cookies are small files stored on your device (computer or mobile device).

Data Controller means the natural or legal person who (either alone or jointly or in common with other persons) determines the purposes for which and the manner in which any personal information are, or are to be, processed.

Group
In relation to a company, that company, any subsidiary or holding company from time to time of that company, and any subsidiary from time to time of a holding company of that company.

B. Types of Personal Data Collected

We may use your Contact Data to inform you about other training courses and materials that may be of interest to you. You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or the instructions provided in any email we send.

We may also collect information on your use of the Service, including your progress through the relevant training course(s) (“Usage Data”).

3. Tracking Cookies Data

We use cookies and similar tracking technologies to track the activity on our Service and we hold certain information.
4. Profile Data
This includes:

your survey responses;

your completed training assignments (including without limitation assignments comprising voice and/or video content);

your replies on the discussion forum that are made available through the Service; and

your performance in the training programs you complete, which may be displayed on the Service ‘Leaderboard’; and

your input and output in any mails you send and receive through the Service.
Please note that your account name and contribution to discussion forums will be visible to all relevant participants. Your account name and ‘Leaderboard’ scores - if applicable to your training program - will be visible to all participants on the Service platform. Your group may opt out of this feature before starting your relevant program. If applicable to your training program, this will also be explained or demonstrated to you by us when you start your use of the Service. You should ask for clarification from your Service administrator if you require further explanation.

Special category data – Submission of video assignments
If you choose to submit assignments to us in the form of video, you may incidentally be sharing with us personal information relating to your racial or ethnic origin, or physical health. Under Data Protection Legislation, these categories of personal data constitute “special category data”. It is entirely at your discretion whether you wish to submit video assignments, and by doing so you consent to us processing any special category data that you may share with us as a result.

E. Retention of Data

As stated under ‘C. Use of Data’ we may provide feedback, comments and/or scoring of any content you submit through your use of the Service with your employer, including without limitation any employee, officer or contractor of your employer.
External Third Parties

We may employ third party companies and individuals to facilitate our Service (“Service Providers”), provide the Service on our behalf, perform Service-related functions or assist us in analysing how our Service is used.

We require all third parties to respect the security of your Personal Data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Hosted learning management solution services – we use a centralised platform to allow our users to access the Services.
Security of Data

We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your Personal Data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected Personal Data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

No fee usually required

You will not have to pay a fee to access your Personal Data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your Personal Data (or to exercise any of your other rights). This is a security measure to ensure that Personal Data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond
​
We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Your legal rights:

The right to access your Personal Data. This enables you to receive a copy of the Personal Data we hold about you and to check that we are lawfully processing it.
